Information and guidelines on abstract submission

Guidelines for submission

Submitting an individual oral or poster (= paper submission)

  • Abstracts must not exceed 250 words (approximately 2000 characters).
  • Submission language: English
  • Presentation language: English 
  • Please structure your abstracts as follows: Aims | Methods | Results and Conclusions.
  • To ensure the best possible presentation of your abstract when it is published, please avoid any unnecessary formatting. Multiple paragraphs will be merged into a single paragraph.
  • Line breaks, tabs and multiple spaces will be replaced with single space. As well as formatting, such as italic and bold, is not supported.
  • Please check all information thoroughly before submitting, as all information will be published as given.
  • All characters < and > must be enclosed by blanks e.g. p < 0.005 not p<0.005
  • Figures and graphics will not be accepted.
  • Abstracts must be new and must not have been previously presented.

Submitting a symposium (= session submission)

  • Overall title of the symposium
  • Symposia abstracts must not exceed 250 words (approximately 2000 characters).
  • Submission language: English
  • Presentation language: English 
  • Name of Chair (Main chair, Co-chairs are optional)
  • Names of all presenters (at least 1 presenter per individual talk)
  • Titles of individual presentations (can include max 5 individual presentations per symposium)
  • In case symposia are not complete with 5 orals, individual orals can be allocated to a symposium which matches with the topic
  • Figures and graphics will not be accepted.
  • All characters < and > must be enclosed by blanks e.g. p < 0.005 not p<0.005
  • Abstracts must be new and must not have been previously presented.

 

Author information

Please provide complete and accurate information on all contributing authors.

  • This includes the full name and email address as well as institution/organisation and location of every (co-)author.
  • Middle name or initials should be entered in the First Name field.
  • Do not enter names in all capital or all lowercase letters.
  • The listing of multiple affiliations/institutions for a single author is not possible. Please choose the current main affiliation/institutions. (in case of more than one affiliation/institution please contact the registration office)
  • The person making the submission is wholly responsible for the accuracy of the information. The information will be published (online program) as submitted. Please use your university address, not your personal one.

Presenting authors
Every submission must name at least one presenting author. The presenting author must register for the conference upon abstract acceptance at the latest by Mai 2nd 2025 in order to remain in the program schedule.

Types of presentation

Oral presentation

Several oral presentations will be grouped together with other related talks in parallel sessions. The slots will be assigned by the program committee.

Duration: 15 minutes incl. questions

Poster presentation

Presentation of content in writing and/or with graphics on a printed poster in world format (128 cm x 89.5 cm | Orientation: Portrait).

Symposium – Session

If you would like to present an entire thematic session, which comprises four individual presentations, you may submit a symposium session. Submitting author should indicate the theme, overall abstract, names of other presenters and chair(s).

 

Duration: 90 minutes, chaired symposium with max 5 presentations.
5 presentations by 15 minutes each with a 3 minute discussion

*in case a symposium is submitted with less than 5 orals, individual oral presentations according to matching topics might be allocated to your symposium.

 

Clinical perspectives

Clinical perspective symposia refer to the insights and viewpoints of clinical cases. In terms of clinical experience, evidence-based practice, and patient-centered approaches. Understanding clinical perspectives helps in improving decision-making, enhancing patient interactions, and adapting practices to better meet the needs of diverse stakeholders.

 

Duration: 90 minutes, chaired symposium with max 5 presentations.

Trainee Case Presentations

“Trainee Case Presentations” involve trainees presenting specific patient cases to share insights and demonstrate their clinical knowledge. Key components include patient background, clinical findings, diagnosis, management plan, outcomes, and learning points. This format helps trainees develop critical thinking, communication skills, and receive valuable feedback.

 

Duration: 90 minutes, chaired symposium with max 5 presentations.

Workshops

Workshops should invite participants to take an active part and convey practical content in an appealing way. They can be organised by an individual or a group.

 

Duration: 95 minutes oral presentation
Form: You are freee to organise your workshop as you wish. However, workshops should be as interactive as possible and involve the participants.

General information

  • Contributions must be submitted online.
  • All submissions must be written in English and in final form and ready for publication in the online abstract book. Your submission will NOT be reviewed for typos or other errors.
  • Check your work carefully as no changes will be allowed after the submission deadline.
  • All submissions will be evaluated in anonymised form (i.e. without author information) by the scientific committee.
  • All communications will be sent to the email address used to submit the abstract or symposia. Your abstract is not successfully submitted until you receive a confirmation email after clicking the final submit button. If you do not receive a confirmation email, please check your spam mailbox or contact the registration office.

Evaluation

  • Contributions will be anonymised before being evaluated by the reviewer group appointed by the scientific program committee.
  • Each contribution will be evaluated separately by at least two reviewers.
  • The scientific program committee will select contributions for acceptance in a final round of evaluation based on the expert evaluations. The decisions are final.

 

Publication

Submitted contributions will be used for:

  • Online evaluation
  • The committee’s selection meeting
  • Publication of the abstract on the event website upon acceptance
  • Publication of the accepted abstracts in conference event program
  • Publication of the accepted abstract in the online abstract book
